Privacy Policy

FrogMedia is a division of The Graphic Zone (together, “FrogMedia”, “we”, “us”), based in Okotoks, Alberta, Canada. This policy explains what personal information we collect on frogmedia.ca and on the websites and online ordering systems we build and run for our client businesses (such as restaurants), how we use it, who we share it with and how we keep it safe. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act (PIPA).
When you order from or contact one of our client businesses through a website we run for them, that business is also responsible for your information and may have its own privacy policy. We handle your information on their behalf and only as described here.
Information we collect
- Contact and quote requests: your name, email address, phone number, your message, and any artwork or files you choose to upload.
- Online orders: your name, email address, phone number, delivery address (for delivery orders), what you ordered, order notes, the pickup or delivery time, and coupon or rewards details.
- Customer accounts: your name, email address, phone number, address, password (stored only in scrambled, hashed form), rewards points, past orders and your email preferences.
- Payments: card payments are processed by Stripe. Your card number is entered directly into Stripe’s secure form and goes straight to Stripe. We never see or store full card numbers. We receive only payment confirmations (for example the amount and whether it was paid or refunded).
- Technical information: small cookies and browser storage that keep you signed in, remember your cart and keep the site secure, and basic server logs (such as IP address, browser type and the pages requested) used to keep the service running and to prevent abuse.
How we use it
- To answer your questions, prepare quotes and deliver the work you ask for.
- To take, prepare, deliver and confirm your orders, and send you order updates by email.
- To run your customer account, rewards points and order history.
- To process payments and refunds through Stripe.
- To send you offers by email, only if you have chosen to receive them. Every promotional email has an unsubscribe link, and you can turn offers off in your account at any time.
- To keep our websites secure, fix problems and prevent fraud.
We do not sell or rent your personal information.
Who we share it with
- The business you order from or contact, so they can prepare your order, contact you about it and provide their service.
- Stripe, our payment processor, for card payments and refunds.
- Our email provider, to send order confirmations, account codes and emails you have asked for.
- Delivery drivers working for the business, who see only what they need to deliver your order (your name, phone number and delivery address).
- Map and video providers (such as Google Maps or YouTube) when a page shows an embedded map or video; they receive basic technical information from your browser when the embed loads.
- Authorities, only when required by law.
How it is shared
Information is shared electronically over encrypted connections (HTTPS/TLS): through the business’s secure staff area, by email for order and contact notifications, and through the secure online services of Stripe and our email provider. We share only what each party needs for its part of the service.
How we protect it
- All our websites use encrypted HTTPS connections.
- Passwords are stored only as secure hashes, never in plain text.
- Card details are handled entirely by Stripe, which is certified to the PCI DSS security standard; card numbers never touch our servers.
- Staff access to personal information is limited to authorized people, by role, with their own sign-in.
- Each business’s information is kept separate from every other business’s, on servers we manage, with regular backups.
No system is perfectly secure, but we work to protect your information and will notify you and the authorities as required by law if a breach puts you at risk.
How long we keep it
We keep information for as long as needed to provide the service, keep business and tax records, and meet legal requirements, then delete it or make it anonymous.
Your choices and rights
- You can ask to see, correct or delete your personal information.
- You can unsubscribe from offers at any time using the link in any promotional email or in your account.
- You can order as a guest without creating an account.

Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
